Question: Why did you initially (or perhaps still currently) plan on just 3 presenters? Purely for the sake of keeping costs down?
Just remembering the DC Test Fest, which was just a single day, and had I think, 8 presenters? Not sure how long you planned on having each presenter speak?

Like I said, I planned a very large car show before, but that is a lot easier than this since I’m dealing with getting presenters and stuff.
You’re right about only 3 presenters to keep cost down. While having them speak longer does require more money, if I had 8-10 presenters for the entire weekend then I would need to pay travel expenses for all 8-10 and that will add up.
I’ve heard back from one possible presenter already and with his price I would assume that if we had 50 people definite to come (though he said he could get a bunch on his own) that would put the cost at $200/person for the entire weekend. Which is way more than I want to charge, but really not a bad price for a 3 day event.
I could get cost per person down by having more than 50 people come, but in the past I’ve realized that if 100 say they’ll come, 50-60 show up.
Also, as mentioned if I get sponsors that could reduce cost as well.
You might want to ping Phill, who organized the TestFest a few years ago. It went quite well, but there was not really enough time for all of the presenters.
A two-day event would work well. The problem with a three day seminar is timing (ie–having to take off work).

I guess I’m curious about why it would be 3 days, then? Each presenter has an entire day to fill up? That’s a pretty daunting task.
Or, are you just trying to allow ample free-time for drunken misbehaving and adultery? I mean, if the DC Test-Fest was just a 1-day event, and it managed to ruin several marriages, just imagine what could be accomplished in 3 days!
only thing at this point is my post a few up about contacting one presenter.

Here’s a thought I’ll run by everyone. Like mentioned earlier, a lot of people will say they’re interested, and when time comes to pay up you get less response.
How would everyone feel about a $20 deposit (non-refundable) to reserve a spot? This would allow me to get at least a somewhat accurate head count of who would be serious. Obviously, if I started collecting money I would give more details as far as date and presenters.
Let me know what you think.
I’m just one guy here without much experience doing this so I can’t foot a $10k bill and have 10 people show up, I need everyone’s help on this

My issue with a one day event though is that it might not appeal as much to people coming from farther away. Speaking for myself, it seems like it would be kind of a hassle to arrange for a flight, hotel, etc. only to be out there for a day. Then again, I don’t have any issues taking off work for a few days for a longer event.

I think 2 days sounds good to me. That sounds like a good balance of lecture and hangout time. We’d probably have some time for some workouts as well.
And to your other post earlier, I wouldn’t have a problem with giving you some kind of deposit once we get more of the details hammered out (date, presenters, etc).

I don’t think anyone serious about going would have a problem fronting $20 for this, so long as the dates and presenters were released first. I know I wouldn’t. I would actually raise the deposit to $40 or $50. Losing $20 on a deposit probably wouldn’t matter to a lot of people going to this.

2 days sounds more appealing to me as well. Since I’m going to eat most of a day in the hell that are airports…
